The director command centre — order book, live generation, receivables ageing, and everything automation handled overnight, on one screen.

A solar EPC company runs on leads, site surveys, tenders, DISCOM paperwork, serialised inventory, live generation data, O&M contracts, and payroll — usually coordinated across WhatsApp groups, Excel trackers and one person’s memory. We built SolarOS to replace that: sixteen modules sharing a single database, so a won quote becomes a project, a completed stage drafts the milestone invoice, and a generation drop opens a service ticket automatically. Delivered for a solar EPC client — the engagement itself is confidential, but the system is real and live to explore.

The challenge

A spreadsheet-and-WhatsApp operation wasn’t the real bottleneck — it was a symptom. Leads went cold between handovers, DISCOM paperwork stalled for weeks with nobody noticing, and panels moved between sites with no record of where they went. A CRM alone wouldn’t fix that; the client needed one system that mirrored how a solar project actually moves, end to end.

How it came together

Phase 01Month 1

CRM, Surveys & Quoting

Started with the front of the business: capturing every lead, running structured site surveys on a phone, and turning a survey into a branded, subsidy-computed proposal in minutes instead of a day. Shipped inside the first month so the team could start using it in production immediately, while the rest of the build continued alongside it.

Outcome

Leads stopped evaporating between handovers. Every enquiry now carries a next action and an owner, and a won quote creates the project automatically — no re-typing the same data into a second tool. Live in production from week four, with the sales team testing it on real deals while the next phase was still in build.

Phase 02Month 2–5

Execution, Liaison & Operations

Extended into what happens after the sale: project execution boards, DISCOM liaison and subsidy tracking, serialised inventory, IoT generation monitoring, and an O&M console — the parts of the business that used to run on phone calls and memory.

Outcome

DISCOM applications that used to stall silently now surface on a dashboard the moment they go idle. Every panel and inverter is tracked by serial number from warehouse to rooftop, and a generation drop opens a service ticket automatically instead of waiting for a customer complaint.
